P/T - Theater Archives Internship - Museum of the City of New York (Manhattan)

The Museum of the City of New York seeks graduate student interns to work on various Theater Collection projects currently underway including object cataloging, re-housing, and digitization.  Interns will work alongside one part-time project employee and the Museum’s Theater Collections Archivist.  Tasks include, but are not limited to conducting condition assessments, recording physical metadata such as dimensions and locations, and re-housing objects.  Interns will become familiar with the Cataloging Cultural Objects (CCO) data content standard, gain experience in object handling, and obtain first-hand knowledge of the steps involved in a large digitization process. 

Appropriate candidates will be currently enrolled in Master’s program in Information and Library Science, with at least some coursework in archival studies.  Preferred skills and qualifications include previous coursework working with cultural objects; familiarity to CCO data content standard; knowledge or demonstrated interest in theater history; exposure to collections management systems such as ARGUS, PastPerfect, or TMS; and experience handling fragile objects.

The Internship requires a minimum commitment of two full days a week (7 hours), scheduled during the Monday - Friday workweek for the duration of the summer term (June and July); however, students with an interest in working with the Manuscripts and Ephemera Collection may have the opportunity to structure those two days to include work with both collections.  Internships are unpaid. P/T - Archival Internship - NY Civil Liberties Union (Manhattan)

The NYCLU is a statewide organization dedicated to the protection and enhancement of civil liberties and civil rights for all New Yorkers. Summer 2014 archives interns will mainly focus on digitization projects and maintenance of the NYCLU’s permanent onsite collections, as well as assisting in the processing of records boxes, under the supervision of the Archives & Records Manager.

Summary of Position:
The NYCLU is about 2 years into its archives and records management program, the initial phase of which involves processing a backlog of material housed in offsite storage. Material with historic value will be transferred to a university archive, where NYCLU records will be open to researchers for the first time in its 60 year history. As we near the end of processing this backlog, we have appraised certain material to have high historic value that we like to maintain copies of onsite.

We are looking for interns to help with this phase of the project. This will involve digitization, cataloging and general maintenance of the NYLCU’s permanent onsite collections. Interns will gain hands on experience digitizing, weeding, arranging, appraising, cataloging and general processing of archival material. Additionally, interns will be exposed to the recently implemented records management program and will be asked to occasionally assist with record management tasks. The internship is unpaid, but may be taken for course credit.

Position Responsibilities:
 Assists with appraisal of records for possible digitization.
 Digitizes material for our Electronic Document Archive and helps to organize and maintain our permanent onsite collections.
 Assists the Archives & Records Manager in weeding and arranging archival material.
 Catalogs records boxes and inputs folder level metadata into an archival management database.
 Assigns disposition instructions and dates to records boxes by referring to the NYCLU Records Retention Schedule.
 Contributes at least one entry to all-staff “Archives Update” postings, designed to pique staff interest and keep the organization updated as to the progress of the project.
 Assists with other day to day tasks as needed.

Qualifications:
 Must be currently enrolled in an MLS/MLIS program, or other graduate program in an archives related field.
 Must be able to commit to at least 100 total hours or average 1 day per week, 10:30-5:30, (Monday-Friday) for about 14 weeks. Candidates who are able to exceed this minimum requirement will be given priority. 
 Successful applicants should have an interest in archives and records management centers in non-traditional library settings.
 Some knowledge of legal documents and/or records management is a plus.
 Able to commute to the NYCLU’s main office in lower Manhattan or occasionally a records storage facility in Brooklyn if necessary, and be able to lift heavy records boxes.

Front desk & Sales assistant internship
Qualified candidates for this internship should be highly personable, motivated and responsible, have excellent phone manner, polished appearance, and an interest in gaining experience in a front of house gallery setting.

Responsibilities include, but are not limited to:
-Greeting clients, visitors and fielding incoming phone calls
-Maintaining the book display, front desk area, and keeping show cards and press releases stocked
-Working with the sales assistant on maintaining viewing rooms, factsheets, and relevant catalogs, assisting on receipts, expense reports and image printouts

The schedule for this internship is Tuesday – Saturday, 10AM to 6PM, with additional hours for occasional events and openings.



Sales internship
Our Sale interns work very closely with our sales and front desk staff, and get a very broad view of how the gallery departments work together.

Responsibilities include:
Assisting the sales department with mailings, research, database maintenance, and organizing of events, helping out at openings, book signings, general gallery maintenance and errands.

This is a great opportunity for those looking to gain experience in a fast-paced gallery setting. Working knowledge of Mac computers, design/photo editing software, and a polished, professional appearance and phone manner are essential.

Public Relations Intern
The Public Relations intern will work closely with the Press Officer. This is an excellent opportunity to learn from experts in the field. Qualifications include the ability to effectively communicate in person, phone and email. High attention to detail and superior time management is essential. Knowledge of, and experience with Photoshop, Adobe, Excel and image editing software is also a requirement.

Tasks and responsibilities will include but are not limited to:
- Press clips and packages
Scanning and formatting press clips as well as preparing physical packages and presentations. Assisting in organizing the physical and online press archive. A working knowledge of using a large-scale scanner and image editing software is preferred.
- Special events
Assisting at press previews, press conferences, special receptions, our annual summer pop-up shop, artist book signings, curator tours/talks. Responsibilities include assisting on-site at the event itself.



Research Department Intern
Our Research department is seeking a candidate who is extremely organized and has an eye for detail.

The tasks for this internship include, but are not limited to:
- Maintaining information about gallery artists on the gallery website
- Cross-referencing and fact-checking the weekly events and exhibitions calendar
- Helping with general research for available inventory (for example: search the gallery's archive as well as the internet for exhibitions and literature references pertaining to a particular work; help research comparative works)
- Requesting and organizing exhibition checklists for the archive
- Uploading updated fact sheets for available inventory to the gallery's database and iPad specific applications


To ensure that our interns have a well-rounded and educational experience, we ask for a commitment of 2-3 full days per week (aside from the front desk 5 days a week internship). The Spring internship program will run from Mid-April to Mid-June. Our gallery hours are 10AM – 6PM, Tuesday through Saturday, with additional hours for occasional events and openings.

P/T - Temp Archivist Position - City College of New York Library (Manhattan)

The Library Association of the City University of New York in order to formalize the organizational records of this organization founded on March 17, 1939, will hire an archivist to integrate records of the organization into the existing file structure and to revise and expand the existing collection finding aid.  This effort is to enable this organization to uncover information related to its history.  These records housed at the Archives of The City College of New York constitute 60 linear feet.  This position will be available for 90 hours and will be compensated at $38.91 per hour.  (Or as a lump sum of $3,500.00)  The individual will report to Professor Sydney Van Nort, Chief of the Division of Archives and Special Collections at The City College of New York. 

This is a temporary entry-level position suitable for those who have recently obtained a Master’s degree with an Archival Concentration (MLS, MLIS, or MA in history) and/or who have 1-2 years processing archival collections. P/T - Archival Internship - American Museum of Natural History (Manhattan)

Last year, the AMNH Archive Project team began creating finding aids for major archival collections relating to the museum’s scientific expeditions.  The research is also producing brief histories of these expeditions and biographies of those who participated in them. These entity records use the Encoded Archival Context -- Persons, Corporate Bodies and Families (EAC-CPF) standard with the aim of linking personal and expedition names across the institution to facilitate research. As we enter into the second summer of the grant our project team is continuing to focus its energy on refining our use of EAC and describing archival collections throughout the museum.

Students will work with the project archivist to define an action plan which may include several of the following deliverables: creating a finding aid and entering it into Archivist Toolkit, creating person and expedition EAC records, offering suggested updates to collection catalog records, and writing a blog post about their assigned expedition.

We ask that candidates:
  • Be knowledgeable and have an aptitude for organizing archival materials, including a familiarity with MARC, DACS and EAD. Some knowledge about EAC_CPF is appreciated, though curiosity and interest can go far. This is a learning experience but students with previous finding aid experience are also encouraged to apply.
  • Be comfortable working in Excel; our EAC records are currently being built in this tool.
  • Have a strong interest in natural science; knowledge of the subject matter is also helpful.
  • Have an ability to think analytically, take initiative and be mindful of details.
  • Be dependable and committed to the completion of their part of the project.
  • Have good communication skills and the ability to work with others including the scientific staff.

The interns will:
  • Have the opportunity to work on a finding aid and potentially work with Archivist Toolkit.
  • Collaborate with the project team (headed by the Museum Archivist), proposing questions and participating in the research process.
  • Work closely with the new descriptive standard (EAC-CPF).

P/T - Broadcast Cataloging Internship - CUNY TV (Manhattan)

Based at the CUNY Graduate Center, CUNY TV is the largest public university television station in the U.S., producing and broadcasting programming on public affairs, education, science, business, and independent media. The archive at CUNY TV manages the 30 year production history of the station, a broadcast library, the Himan Brown Radio Archive, and audiovisual collections produced within the City University of New York. CUNY TV’s collections cover a variety of analog and digital audiovisual formats, including 1/4″ reel audio, analog and digital video tape, film, electrical transcription discs, and archival and broadcast digital formats.

Interns participate in cataloging, collection management, and preservation activities within CUNY TV’s collections. Current archival projects include collection inventory and assessment (including processing and re-housing collections), digitization of legacy formats for preservation, and  cataloging using PBCore metadata schema. This is an excellent opportunity for those interested in audiovisual archives in a busy broadcast and production environment.

This internship would be appropriate for students pursuing the archives and preservation certificate, and for those who are interested in digital preservation.  Preferably candidates should have experience with or interest in time-based media cataloging, audiovisual media handling,  digitization projects, and basic knowledge of metadata schemas (PBCore, Dublin Core, PREMIS). We are looking for interns to work within the time requirements for GLSIS internships (150 hours, approx. 10 hours per week) during 9-5 weekdays.  This internship is for credit only.

The Solomon R. Guggenheim Museum Library seeks a graduate student for an unpaid internship opportunity in cataloging.


This semester, Solomon R. Guggenheim Museum Library will be offering one (1) current MLS student or recent graduate an opportunity to gain experience in cataloging and a greater understanding to the multi-faceted workings of a small museum library. Summer internships are full-time, four days per week Monday-Thursday, in addition to Friday seminars.

Responsibilities:
·         Perform general library maintenance, including book processing, shelving cataloged materials, and retrieving library materials from the stacks in response to reference requests from staff, volunteers or other interns.
·         Copy cataloging, which includes searching, editing, and importing MARC records into the library catalog.
·         Assist in the cataloging of the library’s backlog of new and older uncataloged materials.

For experienced applicants, we offer an opportunity to focus the internship on advanced cataloging practices.

Responsibilities:
·         Assist in creating/editing bibliographic records for rare or unique books in our special collections.
·         Create original cataloging records for older uncataloged materials.
·         Identify items that will need repair or preservation.

Requirements:
·         Course work in original and copy cataloging required. Experience in original and/or copy cataloging preferred.
·         Knowledge of Library of Congress classification, subject headings, and authorities.
·         Familiarity with AACR2, RDA and current cataloging practices.
·         Knowledge of modern and contemporary art.
·         Ability to take direction and to work independently.

Established in 1959 with the opening of the Solomon R. Guggenheim Museum, the Library contains published resources that reflect and inform museum collections and exhibitions. The Library's mission is to support research endeavors. The collection consists of literature focused on modern and contemporary art, architecture, and design, with emphasis on the museum's international collections and exhibitions. Materials are collected in English and Western-European languages with limited selections made among other languages. Collection development methods include purchase, exchanges, gifts, and acquisitions of both newly-published and out-of-print materials.
