Summer Internships, Visual AIDS (Chelsea)

Visual AIDS is seeking two paid interns: a spring intern to support with public programming and social media and a summer intern to support with our archival collections. Each internship pays a total stipend of $2,500 for approximately 160 hours of work. Interns should be able to come into the Visual AIDS office in Chelsea for at least two days a week.
 
 
 
Summer Internship — Archive
The Summer internship will begin in June. The duration of the internship will be determined by the number of hours worked per week, with a minimum of two days per week and a total of 160 hours of work. Responsibilities include:

    Managing our artist file collections and assisting with folder-level description
    Cataloging and arranging library materials
    Assisting researchers during research visits
    Contacting artist members to confirm and update biographical information

The Municipal Library, a division of the New York City Department of Records and Information Services, offers an educational (unpaid) internship to a library school student. This internship can be for credit but that is not required. The Municipal Library is the official depository for digital and print publications of New York City agencies. The collection includes varied material and resources on New York City history, life, and culture. This will be an in-person work experience.
 

Cataloging and Collection Management
Learn original and copy cataloging using the Koha system with MARC 21 interface
 Work on organizing and cataloging a collection of over 100 publications on CD-ROMs
 Correct and clean up cataloging records that have no dates of publication
 Deaccession materials that are being weeded from collection
 Shelving and shelf maintenance
 Identify and help manage conservation of materials that need repair
 

Digital Asset Management
 Create workplan for maintenance of current digital asset management system
 Assist with integration of metadata from the Government Publications Portal into electronic library catalog
 Assist staff with adding legacy digital files to the GPP
 Work with Library staff on monitoring and tracking submission of New York City agency publications in digital formats
 

Reference
 Help with in-person, e-mail, and telephone reference requests
 Assist on various reference projects and using the resources in the Library collection
 

Qualifications/ Special Skills/Areas of study      
 Proficient with Microsoft Word and Excel
 Highly motivated
 Strong attention to detail

Repository Description

The NYC Department of Environmental Protection (DEP) enriches the environment and protects public health for all New Yorkers by providing 1.1 billion gallons of drinking water daily, managing wastewater and stormwater, and reducing air, noise, and hazardous materials pollution. To perform these critical services, DEP employs nearly 6,000 individuals in a variety of field and professional positions.

The Records and Archives Management unit supports DEP in managing the agency’s records and information, and collects, organizes, protects, and provides access to records having long-term business and historical value to DEP and the City of New York. It is a valuable resource for information about DEP including the work of its predecessor agencies dating back to the 19th century. Our digitization and processing projects improve access to information and facilitate the planning of billion-dollar capital construction and rehabilitation projects including the Delaware Aqueduct Bypass Tunnel, Kensico-Eastview Connection, and Ashokan Century Program, as well as land use activities, facilities maintenance, and other operations.

Internship Description

Records and Archives Management Interns (3 positions): Selected candidates will work with the Records and Archives Management team to survey, process, and/or digitize records including engineering drawings and photographs related to the New York City water supply system. Projects will focus on improving access to records in high demand for research to support agency activities. Internships will provide experience with digitization, metadata creation, digital asset management, project planning, and quality control. Other responsibilities may include conducting research in support of user requests and creating social media content. This internship is an opportunity to work with vitally important archives and gain real-world knowledge of managing records that support local government.

Preferred Skills

- Interest in New York City history, government records, or civil engineering

- Strong communication skills

- Detail-oriented with excellent organizational skills

- Self-motivated and able to work well following a project plan with minimal supervision

- Capable of identifying and communicating project issues as they arise

- Proficient in Microsoft Office, particularly Excel

Qualifications: Interns must be currently enrolled in a graduate degree program in information and library science, archival studies, history, or related field at an accredited college or university.

Compensation and Duration: Interns will be paid $17/hour. The positions require a full-time commitment (Monday-Friday, 9am-5pm) for the duration of the summer internship: 10 weeks from June 5 through August 11, 2023.

Work Location: East side of midtown Manhattan. All employees must work at the archive full-time. There is no teleworking option.

Additional Info: Must be able to lift boxes weighing up to 30 lbs. May be required to stand for long periods of time, for example while operating scanning equipment or surveying records.

Internship Description

The Frick Art Reference Library’s Content Cluster is comprised of Acquisitions, Digital Art History, Metadata, Photoarchive, and Web Archiving. The intern will build their art historical knowledge through hands-on projects involving the collections of a leading research institute dedicated to the study of fine and decorative arts created in the Western tradition from the fourth to the mid-twentieth century. The intern will have the opportunity to work closely with cluster Leads and participate in department meetings, webinars, intern events, and other professional development programming for libraries and museums. The scope of the projects may include, but are not limited to:

  • Learn special collections cataloging by creating MARC records, researching provenance and attribution histories for Photoarchive images of paintings and drawings by Italian or Dutch artists

  • Creating and modifying datasets for a digital mapping project that documents the movement across the United States of Library photographers recording paintings and sculptures in private collections and little-known public collections

  • Classifying works for art with a machine learning app to increase access and discoverability to digitized Photoarchive images

  • Contribute to a crowdsourcing project to create alt-text descriptions of digitized visual images

  • Contribute to our critical and ethical cataloging work, reviewing and revising language used in our collections catalog

  • Assisting with researching the copyright status of artworks represented in the Photoarchive’s collection of digitized study photographs

Requirements

Content Cluster internships are open to qualified graduate students in art history, library science, data science, and archival studies. Required skills include data entry, attention to detail, ability to work independently, good time management, research, and organizational skills. Coursework in art history preferred. Familiarity with library cataloging standards, geographic mapping, computer visualizations, and digital humanities tools desirable.

Time Commitment

The internship is generally eight to ten weeks, with activities carried out Monday to Thursday between the hours of 9 a.m. and 5 p.m. Internship hours will follow a hybrid model, with hours worked both on-site and remotely. Interns may work up to 28 hours/week.

Stipend

In addition to hourly compensation and the aforementioned benefits, we provide an onboarding stipend of $1,500.00 to cover travel or other expenses to all interns who are engaged to work onsite 8-10 weeks.

The Archives Department of The Frick Collection and Frick Art Reference Library is hosting an 8-10 week summer internship. The internship is centered around processing and creating a finding aid for a small collection of records related to two London art galleries. In addition to working with this collection under the supervision of Archives staff, the intern will also participate in the department’s day-to-day operations including reference services and digital initiatives. If time permits, the intern is encouraged to develop content for publication in the form of blog posts or through the Frick’s social media outlets. It is expected that the bulk of the intern’s time will be spent on site at Frick Madison.

Requirements

The internship is open to graduate students currently enrolled in library information science programs or in graduate programs with an archival coursework component. Recent graduates of such programs will also be considered.

The Library Administration intern will build their art historical knowledge, as well as their project management skills, through hands-on projects while working closely with other departments.

The tasks for the Library Administration intern may include but are not limited to:

  • Preparing project updates

  • Helping with presentations and social media
