P/T - Paid Records Management Internship - NYC Department of Small Business Services (Lower Manhattan and Brooklyn)

Job Description: SBS’s Waterfront Permits Unit regulates construction permits for properties along New York City’s 520-mile waterfront. The Unit is offering several internships for graduate students in the library sciences or related fields, to inventory and index archival and active permitting records. These records include permitting application case folders and related drawings. The team will assist the Unit with its records management, retrieval and storage system.

The records inventory and indexing work will be conducted at two locations. For the first few weeks, the inventory work will be conducted at SBS’s main office in Lower Manhattan, at 110 William Street, working with active permitting records. Thereafter, the inventorying work continues at the Brooklyn Army Terminal (BAT) at 140, 58th Street, Brooklyn, to sort, organize, inventory and index archived case folders and drawings. All records, some of which may be fragile, dusty and/or in a poor condition, must be handled with care. Dust masks, gloves and other safety supplies will be provided at both locations.

Periodically the team will be asked to report at 110 William Street to synchronize the scanned data and inventories with the main database and for other coordination. The assignment is scheduled to begin in January 2016 and be completed by June 2016. Work hours are Monday to Friday from 9:00AM to 5:00 PM, with an unpaid lunch hour from 1:00 PM to 2:00 PM.

Working under general supervision, the work includes: 1. Review records; 2. Verify if record drawings exist in the case folders, on shelves or in boxes; 3. Check if key records are present in the case folder; 4. Describe materials according to defined SBS requirements; 5. Input metadata into the provided computer tracking; 6. Generate and apply barcode labels on the case folder and drawing sets; 7. Scan the barcode labels to assign a location; and 8. Perform quality control of inventory data entry.


Abilities, Qualifications, and Availability:
 
  • Currently enrolled in a library science or related program;
  • Able to travel to both work locations: 110 William Street, Manhattan; and BAT in Brooklyn;
  • Available Monday to Friday from 9:00 AM to 5:00 PM, for 30 to 35 hours weekly from January through June 2016;
  • Knowledgeable of metadata systems;
  • Experienced with records management or archival repository software;
  • Basic understanding of Records Management concepts and principles;
  • Proficiency in Microsoft Office Excel and Word;
  • Self-motivated, with keen attention to detail, and a high level of accuracy in key entry of data;
  • Strong communication skills, both written and oral;
  • Ability to lift records boxes up to 40 Lbs.;
  • Ability to retrieve and process records stored in cabinets, shelves and boxes;
  • Ability to work standing for extended durations;
  • Work well independently as well as with teams; and
  • Manage tasks and time lines.

Job Description: Document Delivery Services and User Services
- Primarily supports Document Delivery Services (DDS), performing a variety of tasks depending on client request volume and priorities. Tasks may include electronic request processing, scanning documents, and re-shelving materials.
- Acts as a User Services team member, providing consultation services at the Information Kiosks at either of the MSK Library locations, answering in-person directional questions, as well as queries received by email or phone. Escalates research questions and in-depth searches to the reference staff. Records client interactions.
- Shares desk shift coverage responsibilities with other staff, which may include opening or closing one of the Library's two locations. May sometimes be asked to cover the front desk independently during all-staff meetings or during part of an evening shift.
- Assists and provides support regarding the online catalog (Tri-Cat), Library Web site, eResources and print collection.
 
Required and Preferred Qualifications: Must be enrolled or in process of completing an MLIS (or equivalent) program from an ALA accredited institution, demonstrated knowledge of Microsoft Office Suite, ability to work both independently and as part of a team, excellent oral and written communication skills, attention to detail, outgoing personality with a desire to provide excellent customer service, adaptable to a changing work environment and departmental priorities, and familiar with any or all of the following: electronic publishing, licensing, online searching.
 
Hours:  To be determined based on student schedule and staffing needs. 10-12 hours a week. Some evening availability is necessary.
 
Pay: Hourly rate is very competitive and based on relevant experience and qualifications.

P/T - Archive/EBay intern for Activist's Personal Historic Archive - (Coney Island)

Molly Klopot has been an activist since she first started organizing unions in Depression-era Detroit. She studied Social Work at Columbia and while working, became involved in the International Peace movement, travelling to East Berlin and later Cuba. She was chair of the NYC chapter of WILPF for many years, founded the New York Raging Grannies in 1990 and was co-founder of the Granny Peace Brigade. In 2013, she received the Clara Lemlich Social Activist Award.

Ms. Klopot is now 96 years old and lives in Coney Island. She has a several hundred volume collection of historic books - non-fiction, novels, etc. - from a left perspective going back at least 75 years. 
  
Most of them are already in the collections of Tamiment and the Wisconsin Historical Society but Ms. Klopot would like to be sure that these particular books find homes where they will continue to be appreciated and used.  She would like assistance to put the volumes up on EBay for sale.  She would share a percentage of any sales with the intern.

Ms. Klopot has limited vision and is not computer literate.  The intern would need to do the posting of each book and then do any follow-up, such as mailing, that is required.  The posting would require finding out a fair value to ask for the book.

P/T - Photographic Archives Intern - American Jewish Historical Society (Manhattan)

The American Jewish Historical Society is currently accepting applications for a Photograph Archives
Intern for Fall 2015. This position will work exclusively with photographic collections. The internship is
unpaid but can be used for academic credit and requires 120 hours of work for the semester between
the hours of 9:00am-5:00pm Monday-Friday.

Responsibilities Include:
-Surveying and processing photograph collections including rehousing and preservation
-Writing processing plans and finding aids
-Applying metadata to digital resources
-Keeping an inventory of recent accessions
-Working with the photo archivist to answer reference questions based on visual collections
-Social media postings based on visual resources

Qualifications:
- Currently enrolled in an ALA-accredited Master of Library Science program with an archives concentration
-Knowledge of basic archival principles with at least one introductory class
-Understanding of Photoshop, Microsoft Office Suite, and scanning software
-Knowledge of the history of photography, the photographic process, and Jewish history a plus
-Familiarity with EAD, XML, DACS, metadata and the AAT Thesaurus a plus

P/T - Archives, Metadata, Asset Mgmt Internship - HBO (NYC)

Fall (15 hours per week).
The HBO Archive internship offers experience with archive management, cataloging, collections processing, and corporate archive metadata management to Library Science and Moving Image Archive graduate students.

PRIMARY RESPONSIBILITIES:
Archive interns may specialize in Metadata, Media Asset Management, or Archive Management; or they may spread their experiences across these three areas.

Metadata – Data mapping exercises; data normalization projects; cataloging and indexing for new collections (such as props, costumes, corporate archive items, or file-based media); and assisting with archive tools, including assessing proofs of concept and vendor demos.
Media Asset Management – Processing and taking inventory for specific collections; analyzing and normalizing collections data; researching legacy video and film formats; researching historic HBO collections; and assisting with edits to the HBO Archive Collection Management Policy.
Archive Management – Participating in department staff meetings; shadowing a manager and attending project meetings; visiting storage facilities; analyzing storage vendor data and other statistics; and documenting and visualizing workflows, asset lifecycles, and project roadmaps.

REQUIRED SKILLS:
Must be enrolled in a program that confers a Masters in Library Science or Moving Image Archiving. Must possess: close attention to detail; experience with Microsoft Office, especially Word and Excel; an interest in physical asset management, media archives, and/or digital asset management; familiarity with audiovisual media formats.


DESIRED SKILLS / TRAITS:
Familiarity with metadata analysis tools and techniques; familiarity with the media industry; strong writing skills; experience with cataloging media assets, physical and digital.

P/T - Archival Internship - Poppenhusen Institute (Queens)

 
The Poppenhusen Institute in College Point, Queens, is currently seeking a library school student interested in an archives internship. The intern will have the opportunity to gain experience in processing archival materials and artifact collections, responding to research requests, digitizing materials, promoting collections via social media, assisting with the development of new exhibits, and other projects. Projects will vary according to an individual’s skill set and interests.

P/T - Archival Processing Intern - New York Botcanical Garden (Bronx)


The New York Botanical Garden seeks an Archival Processing Intern for the fall 2015 semester to assist with the processing of a large collection of landscape maps and architectural plans.

DESCRIPTION: The intern will assist in inventorying a collection of historic landscape and architectural plans and maps,  entering information about each piece into an existing  database which will be made searchable to the public. Candidates must have taken at least one course in archival concepts, or be enrolled in an archival course during their first semester of the internship to be eligible for the position.

QUALIFICATIONS:  Demonstrated understanding of archival collections and principles of arrangement and description.  Ability to work independently.  Strong organization and time-management skills; attention to accuracy and detail is essential.  Interest in landscape design a plus.

RESPONSIBILITIES:

• Perform basic rehousing and description of inventory.

• Contribute to a subject content Libguide and to Garden blog.

• Apply basic preservation techniques including storage and foldering of oversized materials.

• Assist with basic collection management, including numbering of folders and boxes.

COMPENSATION

Internships are unpaid and are intended to fulfill course credit requirements for internships and practicums.
